Your data and our terms
Where your data is kept, who processes it, how long we keep it, and how to accept the Terms of Service, Privacy Policy and Data Processing Addendum.

Conduit TEM holds your carrier bills, your team and your inventory, so you should know exactly what happens to that data. The short version: your data is yours, it is kept in Canada, and you can take it with you.
All our legal documents are public, at tem.conduitdocs.app/legal. Each one shows its version and the date it took effect.

You can open them any time from the footer of the sign-in page and the Help centre, or from your name in the app: select it, then Terms and privacy.
What you accept, and when
- Everyone agrees to the Terms of Service and Privacy Policy when they create their account: tick I agree to the Terms of Service and Privacy Policy on the Create your account page. That includes people who join from an invitation.
- The owner accepts the Data Processing Addendum on behalf of the company when they create the organization: tick I accept the Data Processing Addendum on behalf of (your company) before selecting Create organization.
If you're asked when you sign in
If your account was created before we published these documents, or we've made an important change to one, you'll see We've published our terms (or We've updated our terms) the next time you open Conduit TEM.
- Open each document from the list if you want to read it first. They open in a new tab.
- Tick I agree to the Terms of Service and Privacy Policy.
- If you're the organization's owner, also tick I accept the Data Processing Addendum on behalf of (your organization).
- Select Accept and continue. You go straight to the page you were opening.
You're asked once per version. Small wording fixes don't ask again; an important change does, and we tell owners about it by email beforehand. If you'd rather not accept now, select Sign out.
Tip: Only the owner can accept the Data Processing Addendum for the organization. Admins and other members aren't held up while they wait: they only accept the Terms and Privacy Policy for themselves.
Where your data is kept
- The app, its database and your files run in Toronto, Canada, and so do our encrypted backups.
- A few service providers process some data outside Canada, mostly in the United States: email delivery, payments, the support desk, and the AI that reads your bills. The Subprocessors page lists each one, what it does and where.
- Conduit AI reads your bills through those AI providers under terms that prohibit training their models on your data. We don't train AI on your data either. What Conduit AI learns from your team's corrections stays in your organization.
How your data is protected
- Every connection is encrypted.
- Each organization's data is kept apart from every other organization's in the database itself.
- Every member needs two-step verification.
- Our staff open your organization only to help you or keep the service running, and every visit appears in your activity log under Settings → Activity (owners and admins can see it).
Taking your data with you, and deleting it
- While your subscription is active, export bills, inventory and reports at any time. See Download a report.
- If your subscription ends, you have 30 days to export what you need. After that, we delete your organization's data within 90 days of the end of the subscription, and copies in our backups are gone within a further 30 days.
- Bills uploaded to the free bill check are deleted after 30 days.
